Process of Transformation

Our process is our organisational culture developed brick by brick in last three decades. This process has been enriched by each of our valued members both present and past, learning from both failures and success. By and large, our biggest accomplishment is our customers’ experiencing transformation from their past state of misery to the current state of miracle, with our unique process.

State of Misery - an environment of chaos:

Successfully running a business in a tough market competition is a constant challenge for any progressive management. Running a day-to-day business should be ‘’Business As Usual‘’, with the management focusing on planning, forecasting, and strategy. But in reality, most of the management time and resources are exhausted handling the crisis all the time.

Issues such as non-standard operations leading to data duplication, data inaccuracy, data reconciliation, delay in service, and ultimately dissatisfaction of customers, suppliers, and regulators, etc. Poor utilisation of resources results in poor productivity and high overhead cost. Similarly, non-optimised processes with bottlenecks in workflow delays product and service deliveries, and cost overrun. High cost of products and services, delay in service, expensive customer support results in loss of valuable customers to competitors. Failure in complying with regulatory requirements leads to heavy penalties, expensive legal cases even possible shutdown of the business.

These issues suggest the miseries of the management and their struggle to keep the business running against all odds. A business organisation can’t continue long in a situation like this, without a course correction or “changing the way they are doing things”. A more progressive way to handle this would be looking for a way out rather than succumbing to the situation before the problem in one area cascades to the entire organisation and the problem becomes a crisis.

Our Process

The process of transformation starts with business management approaching Extrapolix with a letter of intent for a Proposal of solution.

Once we receive a proposal we team up with key business stakeholders to jointly conduct a proposal study. We engage our top subject matter experts to prepare a Project Scope along with a Budget and Schedule to deliver. We carry out stakeholder engagement to know the organisation structure well to smoothly deliver the project. In the course of the proposal study, our team does a thorough study of the feasibility of various aspects of the proposed project. As an important deliverable Project Scope will encompass a well-defined business case, benefits management plan, and success criteria.

Once the proposal is submitted by us the business stakeholders decide on the project (Go or No-Go). This decision either authorises the project or parks the project at the proposal phase. At times based on the available resources, budget, and other constraints the business stakeholders may go for scope curtailment or phased implementation approach.

In case of a decision to go ahead with the project, the business organisation gives Work Order to Extrapolix followed by our Acceptance to formally commission the project at a mutually agreed budget and duration. In case of No-Go or failure to agree upon the budget or duration, the project is parked there with no cost charged for the work.

Every project commissioned undergoes all the phases of our predefined process, with each phase having certain well-defined activities, deliverables, and exit criteria. Design and Development phases are functionally internal to our organisation. In rest all other phases (Study & Analysis, Testing, Deployment & Training, and Maintenance), we work together with the business, pool in our years of collective experience both in domain and technology to deliver the best in the industry. Post-deployment and User Training the project remains under our support until the end-users fully familiarise themselves with the business application and are able to realise all the stated benefits.

The business application is developed as per the project scope approved by the business at the very beginning. However, the business is always free to suggest enhancements from time to time. Those enhancements are called Change Requests (CRs) and may be proposed by the business at any time in the project life cycle. Every CR is treated like a small project which goes through all the phases of our development process with a separate cost and schedule attached to it. We have a very robust change management process within our organisation that ensures the changes proposed by the business are well integrated into the business application without degenerating the core functionality and sanctity of the application.

The business starts realising benefits and values from the project much before the deployment. As part of our process, many key changes are suggested and implemented in the existing operation, process, and workflow that already start delivering results.

However, post-deployment all the benefits and business values pre-defined in the business case and proposal document which are resulting from the project can be experienced in organization’s ongoing operation. The Business organisation can also witness how well the project benefits align with the business strategies of the organisation.
